Information About Custom Email Templates
What are Custom Email Templates? - Customizing the emails generated by this application is an optional feature. Test.com already includes default email formats if this feature is not used. Use this feature if you would like to create custom email formats. You can find the Email Template Settings by going to Manage > Settings > Configuration Settings > Email Templates
In addition to using this feature to customize your emails, you can also change the email server settings defaults. That feature will let you control default email headers, footers, signatures, etc.... More information about those settings can be found under Manage > Settings > Setup Settings > Email Server Settings (when using email templates, it is recommended that you set up your own Email Server).
This feature is not used to control the attaching of documents like certificates to emails. Those Setting are found on the Options tab was you edit your Tests and Programs (under the Manage – Author Tests & Content menu). There you can specify if you want to attach a certificate to one of these emails or the default email.
If your emails contain logos or other graphic artwork (media) – you will need to first upload them into your media library (see the Library tab under the Manage menu tab) before they can be used in an email template.
The custom email template feature in this application is very similar to a mail merge template in word processing program. Where you specify you want to send emails, invite users, edit your tests or programs, there you can also optionally choose if you want to use one of these templates. The email templates you add and edit here can contain Mail Merge like fields. For example, when a user completes the test or program, this application will automatically fill in those fields with User and Content data fields you set up in this email template.
Special Purpose 'Automatic' Templates
Only one of your templates at a time can be activated for each one of the following purposes. If no template for the type/purpose is activated, then the functionally for that purpose will be disabled (see the enabled column below). For example, if no template is set up and activated to be sent automatically upon adding a new user – then no email will be sent to a new user. The only exception to the above is for the Password Help email, in this case, if no template exists or one is not activated – then a system email will be sent to these users requesting password help.
You can edit these templates by finding them in the above list, and either clicking on their name or pressing on the edit icon there.
NOTE: Setting up automated emails to users (and others) upon test/exam/program completion are handed where you edit your Tests and Programs on the Options tab.
Adding An Email Template
To start adding an Email Template go to the bottom of the Email Template Settings page and click the "Add A New Email Template" button. Then follow the instructions on the page. This is an advanced feature so contact your Gauge Representative for more help.
