User Group Settings

Editing A User Group

To edit your user group, navigate to the user group section under the configuration settings. Then click on the corresponding edit icon to get to the settings.

User Defaults

User groups can also be used to specify defaults for users that are assigned to a group.

New User Default - If the New User Default box is checked, all new users will be automatically added as a member of the group (if the security group is marked as active).

No Charge Exception - If the No Charge Exception box is checked AND if you are charging users to take tests, then those users who are assigned to the user group will NOT be charged to take tests and other content. By default, the application is configured to NOT charge your users to take content and tests. To learn how to set up a merchant account, visit: Merchant Account Settings

Time Zone - Time Zone is used for helping identify a user with a time zone if a user is assigned to a User Group. User time zone assignment can also be found in the Manager User section of this application, that value supersedes any value specified on the screen (if No time zone value is set in the User account, then the application will look as if the user is assigned to any User Groups that have a time zone value set. If a user is assigned to multiple groups that have different time zone settings, the application will automatically select a time zone or use the default time zone (if no time zone is set in the User account). The application supports a wide range of time zones, but if your time zone is not listed, please contact your GAUGE/test.com representative. If you are unsure which value to select, choose the Ignore This Setting choice.

Language and Country - Language and Country is used to help identify a user with a language (and local country settings) that the application will use when the user is logged in. Menus, instructions, and prompts will be displayed in the selected language. Local currency and date formatting are also controlled with this setting. This field is a default with special behaviors. It works exactly like the aforementioned Time Zone value. Refer to the Time Zone instructions for more information. Currently, this application only supports a limited number of languages, contact your GAUGE/test.com representative if your language is not listed. If you are unsure which value to select, choose the Ignore This Setting choice.

Special Characteristics 

User groups can also be used to specify the following special characteristics.

New Hire Required Content - use this special characteristic to indicate content that is included in a group is required for users who have a New Hire Date value entered in their User Detail Record and who are members of the security group.

Special Note: Your implementation of this application is set up to HIDE a user's New Hire Date because a New Hire Date might not apply to your users.

This feature is used to build exception reporting notices for users and administrators to determine if New Hire required content has been successfully taken.

Ongoing Required Content - use this special characteristic to indicate content that is included in a group that is required for users who are members of the security group. If the content has not yet been taken by a user who is a member of the group, the user will be automatically reminded the content needs to be taken.

This feature is used to build exception reporting notices for users and administrators to determine if Ongoing required content has been successfully taken.

Limit User Access by Time Range - use this special characteristic to limit access to the application by the following daily time frames for users who are members of a security group

Entering 0:0 as the hour:minute indicates there is no limiting time.

Note: hours are entered in military time (11:00=11:00AM, 12:00=noon, 13:00=1:00PM...).

Limit User Access by IP Address - use this special characteristic to limit access to an application by IP access address for users who are members of a security group.

Entering 0 in either of the cells indicates a wildcard and will then allow any range from 1-255 to access.

Instructor Proctoring (unlocking, printing, and data entering results...)

This application is configured to optionally allow instructors to proctor tests. By default, these setting are ignored and test takers do not need instructors to take tests/content.

By utilizing the optional settings, basic user group security membership provides instructors with limited user management capabilities (view user information such as login codes & passwords, optionally add/edit user information, optionally review test results if the instructors also have Manage Results privileges).

 

When the Require Instructor Proctor checkbox is checked, then instructor information is retained in the test/content taking records. The other settings in this section provide added test taking proctor security. If the Require Instructor Proctor checkbox is not checked, any of these other instructor proctoring settings will be ignored.

 

User Group Setting for Content Access: The users taking content and users proctoring users/content need to be a member of a User Group. The CONTENT ITSELF need NOT be a member of a User Group (an optional system behavior). Contact your GAUGE/test.com representative for more information or to adjust system set behaviors.

Require Instructor Proctor - for user members of a group.

On Start Taking Page, Require The Instructor To Enter Their Credentials To Unlock The Test – after a user (test taker) has logged in, on the start page for any content about to be taken, to proceed, the instructor will be required to enter their own login credentials (the proctor's login and password) on the computer being used by the user, before the user will be allowed to take the test – when selected this setting supersedes the above setting

Using A Third-Party Remote Proctoring Service – for Proctoring Tests (using this setting alters the system messaging that references instructions you as a test administrator need to provide to the test taker either outside of the application or as custom entered test instructions found where the test is edited)(only applicable if the above 'On Start Taking Page, Require Instructor Proctor To Enter Their Credentials To Unlock The Test' checkbox is checked)

One Credential Field Instead of Two – instead of the two separate fields the proctor login is replaced with a single password field where the proctor enters their login and password together separated by the forward slash character (login/password)(typically turned on for Third-Party Remote Proctoring Service for improved ease of use)(contact your GAUGE/test.com representative for more information)

Prevent User from Taking Content Unless Instructor Has Logged In as Themselves Prior - after a user (test taker) has logged in, the user will not be permitted to take any content unless the INSTRUCTOR has previously logged in (using their instructor's login and password – on the test takers computer OR some other computer) within a 60 minute window - use this settings instead if the setting below if you will be proctoring large numbers of users

Allow Instructor to Print Tests/Content – so a user (test taker) can manually take the test on paper, then the proctor can data enter the test answers back into this application

Include Question References – for Instructor Printed Tests (only applicable if the above 'Allow Instructor to Print Tests/Content' checkbox is checked)(contact your GAUGE/test.com representative for more information)

Include Separate Answer Key – for Instructor Printed Tests (only applicable if the above 'Allow Proctor to Print Tests/Content' checkbox is checked)(contact your GAUGE/test.com representative for more information)

Include Separate Answer Sheet – for Instructor Printed Tests (only applicable if the above 'Allow Instructor to Print Tests/Content' checkbox is checked)(contact your GAUGE/test.com representative for more information)

Data Enter Answers Back – into this application for Instructor Printed Tests (only applicable if the above 'Allow Proctor to Print Tests/Content checkbox is checked)

Data Enter Only Final Scores Option – for Instructor Printed Tests (only applicable if the above Allow Instructor to Print Tests/Content checkbox is checked)(contact your GAUGE/test.com representative for more information)

Prevent Instructors from Taking Tests/Content as Themselves – safety feature to prevent an instructor from accidentally taking content they are not supposed to take.

Sub Header for Branding

Any text in the field will be displayed under the main application header (unless the hide checkbox is selected below). The field is typically not utilized and provided if you need to brand your testing application site by user group. This sub-header will be displayed to users who are members of this user group. If a user belongs to more than one group that contains sub-header information, the sub-headers will be presented in order of the Lookup Code. The text field supports the entry of HTML. If the Show check box is not chosen, any text entered will be ignored.

Points and Charging for Content Group Defaults

The application is configured to NOT use Test Costs and Accounting. This means you will not be charging your users to take tests, or using a point system to limit the number of tests a group can take. Since this setting has been turned off by a Superuser, the following setting for this group is disabled and will be ignored. Contact your GAUGE/test.com representative for more information.
